This full-time position provides administrative and managerial support to the parish and school and serves as a steward of the physical, financial, and personnel resources of the parish.
Financial
• Assist Shared Accounting in maintaining the accuracy of all financial files and records.
• Print and process check payments weekly. Maintain Master File electronic filing system.
• Attend and coordinate all parish Finance Council meetings.
• Distribute bank statements monthly to Shared Accounting and appropriate parish organization heads.
• Work with volunteers to count and balance weekly offerings.
• Balance, maintain, and enter all donations to Servant Keeper.
• Work with volunteers to administer and manage the RaiseRight gift card program.
• Create and balance weekly deposits for school, parish, and parish organizations.
• Complete and coordinate annual reporting to parishioners.
• Maintain the Mass checking account and calculate monthly Mass check to Pastor.
• Complete monthly transfers of payments completed through FACTS to the correct payment account.
Personnel
• Complete all onboarding for contracted, full-time, part-time, and temporary employment.
• Maintain all personnel records.
• Process payroll through Lawson on a semi-monthly basis.
• Complete principal and teacher contracts annually.
• Act as liaison and communicator for Archdiocese Human Resources Department to the employees.
• Maintain time-off records for parish employees.
Administrative
• Answer main phone line for parish; greet visitors to the parish office.
• Work with parish and school staff to coordinate office functions and procedures.
• Prepare Status Animarum annually.
• Prepare and coordinate Guidebook/Directory annually.
• Maintain building calendar, key distribution, and door-access programming.
• Coordinate and attend staff meetings bi-weekly.
• Consult with Pastor and Pastoral Associate on business and administrative matters that affect the parish.
• Work closely with Facilities Manager and third-party cleaning company to maintain building, service, and repairs.
• Maintain all office equipment (postage machine, copier, phones, etc.)
• Act as liaison between staff and computer consulting company.
• Order all supplies for office and church.
School Administration
• Act as the database administrator for FACTS-SIS.
• Process payments received from parents for tuition, incidental expenses, prepaid lunch, etc.
• Maintain online enrollment and application processes for the upcoming school year.
• Maintain records of payments through the FACTS Tuition Management system.
• Keep delinquent tuition and incidental billing accounts to a minimum. Follow up on past due accounts regularly.
• Work closely with Administrative Assistant on changes to preschool schedules, building needs, payments, etc.
Related college degree and / or 2 to 5 years' experience in a related role or field.
• General knowledge and support of the Catholic Church and its teachings.
• Proficiency in Microsoft Office products.
